The Sales & Contracts screen

How to read the Sales & Contracts table — one row per sale with three self-updating tracks (Financial, Contract, Chip), an overall Status, the sale Ref, and quick actions.

Sales & Contracts holds one row per sale — a pup matched to a buyer — with the payment ledger, the state-compliant contract, and your Fair Trading evidence behind each one. A sale starts when you assign a pup to a buyer or take a deposit; you can also Start a sale for an assigned pup from the top of the page.

The three tracks

Each sale shows three columns that update themselves from your money, contract and chip events — you don't set them by hand:

  • Financial — where the money's up to (for example, deposit paid, balance due, or paid in full). It counts every payment received, whether the buyer paid by card or you recorded their cash.
  • Contract — the contract's progress (draft, sent, signed).
  • Chip — the microchip transfer status for the pup.

The other columns

  • Status — the overall state of the sale, combining the three tracks (and flagging a cancelled sale).
  • Ref — the unique sale reference; click it to open the sale.
  • Actions — 👁️ view the sale, ⬇️ download the evidence pack, and ✉️ open a pre-filled email to the buyer (greyed out if there's no buyer email on file). The email opens in your own mail app — nothing is ever sent automatically.

The "Needs your attention" banner

The amber Needs your attention box at the top of the Sales list gathers the money and buyer follow-ups that are due now — a deposit pending (link sent but unpaid), a balance pending (the rest is due), an unsigned contract, or a go-home day that's arriving or overdue. Click any item to jump straight to it.

What "Balance pending" means

On the Financial track, Balance pending appears once a deposit is in and go-home is within about two weeks — so the remaining balance is now due. Collect it before the pup goes home.

The handover-checklist status chips

When you open a sale, the handover checklist tags each item with a status chip:

  • Done (green) — the requirement is met.
  • Outstanding (amber) — still to do.
  • Needs attention (red) — a cap or limit flag worth checking (for example a litter or caesarean cap).
  • Confirmed (brand colour) — something you've attested yourself.
  • Automatic (grey) — handled for you; no action needed.
  • N/A (grey) — doesn't apply to this sale or your state.

"IP" and "Method" on a signed contract

Once a buyer signs, the contract records an IP and a Method: how and from where the buyer signed — the IP address their device used, and whether they typed or drew their signature. These are kept as legal proof of the signing and can't be edited.
