WhelpkeepRecords & Photos reference
Every field when adding a record in Whelpkeep — the ten record types, what it's about, date, title, file rules, sharing with a buyer, and weights.
Records & Photos is where every document and photo lives, grouped by the animal, litter or pup it belongs to. Add one with Upload record. When a record is a document, the document reader pulls out the details for you to confirm — see How the document reader works.
Type
What kind of record this is, from a fixed list of ten:
- Vaccination
- Vet check
- Vet certificate (approval/exemption)
- Microchip
- Worming / treatment
- DNA / health test
- Pedigree / registration doc
- Picture (Animal photo)
- Milestone
- Other
Required. The type tells the document reader what details to look for, and feeds the compliance checklist (for example, a vaccination record ticks the vaccination item).
About (which entity)
Each record attaches to exactly one thing: an animal, a litter or a pup. Required. Pick the kind, then the specific one. This keeps each puppy's history with the puppy.
Date
The date on the record (for example, the date of the vet visit). Defaults to today. Optional but recommended.
Title
A short label for the record. Optional — Whelpkeep will use a sensible default if you leave it blank.
Notes
Free text about the record. Optional.
File
The document or photo to upload. Accepted types: JPG, PNG, HEIC, WebP and PDF, up to the size limit, with PDFs under the page limit. Empty or mislabelled files are rejected for safety. iPhone HEIC photos are accepted and converted when needed; they may show as a file icon rather than a thumbnail. Files are stored privately and shown to you through short-lived signed links.
Share with buyer
A toggle to make this record visible on the buyer's puppy page. Available only when the record's animal, litter or pup has a buyer assigned. Off by default — you choose what to share.
Weights
Weights are entered separately from files, as a date and a weight in grams. They build a growth chart on the pup and litter, which is also one of the nicest things to show buyers. Add them under a litter or pup with Add weight.
